General terms

UNSW Version Ref: Version 4 2023

Download and share the sample agreement below with your sponsor.

After reading the terms and conditions and confirming your sponsor agrees, you can submit a FastPASS form below.

This student project and placement agreement (including a Student Acknowledgement Deed*) should be used where an external party wishes to:

  • Fund a higher degree research (HDR) student stipend;
  • Contribute funding to a research project that an HDR student will undertake for the external party;
  • And/or offer a placement or internship to a HDR student.

In addition to outlining the research project that will be undertaken (which often includes a list of clear deliverables and milestones) the agreement sets out the rights and responsibilities of UNSW and the external party, including:

  • Terms governing payment by the external party;
  • Any key personnel involved, such as the UNSW and external party supervisors;
  • The rights of each party with regard to confidentiality and the publication of results;
  • Ownership of background intellectual property used and project intellectual property created.
  • Mandatory right of access to information clauses that UNSW, as a ‘government agency,' must include in certain services contracts with external parties where they are providing services to UNSW or on behalf of UNSW;
  • A right to terminate the agreement if the student discontinues their studies.

The Research Grants and Contracts office will work with the Graduate Research School to assist with preparing the Student Project and Placement Agreement. This agreement will be executed by the Director of Research Grants and Contracts.

*Student Acknowledgement Deed is a confirmatory deed poll related to the undertaking of the project and placement by the HDR student.
